EPI LAN Policy

 It is recognized that LAN access is important, however to preserve that resource it is necessary that all LAN users understand and follow the conditions described herein.  Failure to observe these conditions may lead to either temporary or permanent loss of access to the LAN.  Use of the Department LAN and all components of the LAN is a privilege, not a right, associated with membership in the Department of EPM.

General

  • All Faculty, and Staff, and Students in the Department of DEPM, who have access to a DEPM LAN Information/ System’s (LI/S)  approved MS Windows-based PC , may have access to the Local Area Network.  There is limited support for Macintosh and Linux.
     

  • All requests for service must be entered using HELPSTAR through your Administrator (or other authorized Helpstar person; see list at http://medschool.umaryland.edu/departments/Epidemiology/internal/helpstar.html).
     

  • It is the user’s responsibility to ensure that there is a legal license for any software on the user’s respective computer that was not installed/supported by DEPM I/S. Any fine levied for unlicensed software is the sole responsibility of the person illegally using that software.
     

  •  Users must request permission from their LAN Administrator or Division Chief to install non-mission based software on their computer. The Department is not responsible for problems resulting from software installed by the individual user on any computers attached to the DEPM LAN. In addition, DEPM LI/S has the right to remove non-approved software found to be pirated or in any way conflicting with the LAN.   DEPM LI/S may create a list of prohibited software that is known to cause system problems.  Any fine levied for unlicensed software is the sole responsibility of the person illegally using that software.  The Department is not responsible for problems resulting from software installed by the individual user on any computers attached to the EPM LAN.   • All software on DEPM servers must be installed by LI/S personnel. Installation of software programs is not permitted on any departmental servers without the permission of EPM I/S. EPM LI/S has the right to remove application software installed on DEPM our servers by individual users without prior warning.
     

  • All data files stored on the LAN are protected against viruses and are regularly backed-up onto by tape backup and virus protection. It is the user’s responsibility to save data files to the server for sharing and backup purposes. Personal files, not related to the mission of the Department, are not allowed on DEPM servers and DEPM LI/S has the right to remove these files (after notifying the owner). MP3, DVX, and AVI files (music and movie files) are not allowed on the LAN at any time and those files will be removed without notification.
     

  • All users are limited to 250MB of disk space on the server. If more space is needed, the user should request additional space through their LAN administrator.
     

  • All users are required to have a password. Passwords must be at least 8 characters long and changed every 180 days for security protection. Sharing or visually displaying your password (e.g. pPost-it note on monitor) will compromise network security and is prohibited. should never be done.  Internet Web-browsing for personal use and Email communication with family members and friends is at the discretion of your supervisor and must not interfere with the completion of employee’s work responsibilities. 

     

E-MAIL

  • Email content is the property of the individual user and is subject to the same privacy as regular mail.  Exceptions to this policy will be for cooperation with law enforcement in legal investigations. While it makes every effort to maintain email the Department is not responsible for undelivered, lost, or deleted email. Email on the EPM GroupWise servers is the property of the Department.  However, intellectual property/propriety Information disbursed electronically remains the property of the sender.
     

  • E-mail attachments with the following extensions (exe, pif, js, bat, com, vbs, zip, scr, cpl, hta, eml, rar, cmd) are blocked for the purpose of preventing e-mail viruses.  In addition each e-mail, sent or received, is scanned for known viruses.  If a virus or restricted e-mail attachment is detected, the e-mail will be blocked and the sender will be notified via e-mail.
     

  • Email should not be used for the wide distribution of large attachments. Attachments are limited in size to 25Mb.  Larger files can be transported using FTP, zip drives, or recordable CD’s.
     

  • Authorized users may send to large groups for official (work-related) communications only.
     

  • Deleted e-mail will be purged from your GroupWise TrashCan on Fridays at 11PM.  GroupWise is backed up daily.  The entire DEPM EPI-HH LAN server is backed up weekly (Saturday); and Monday through Thursday only the files that have changed since Saturday are backed up.
     

  • Due to space considerations on the e-mail system each user has a mailbox limit of 1GB.
